We are Henderson Brothers, a fourth-generation, family-owned insurance brokerage firm in Pittsburgh PA, and we are seeking a Department Administrative Manager to support our Employee Benefits team.
This key role will partner with senior leadership and internal stakeholders to ensure smooth day-to-day operations, enhance the client and employee experience, and provide a strong foundation for department efficiency and success. What You’ll Do
Leadership & Department Support
- Manage the calendar and scheduling for the Employee Benefits Practice Leader.
- Document and organize leadership and departmental meetings, 1:1s, and expense submissions.
- Book travel for staff and coordinate internal department events.
- Partner with HR and hiring managers to support the onboarding process.
- Coordinate interview schedules and orientation plans for new hires.
- Serve as a friendly and professional point of contact for new employees.
- Schedule and manage meetings with external vendors and carriers.
- Maintain a regular meeting cadence between external partners and internal stakeholders.
- Act as a welcoming ambassador to clients, vendors, and guests.
- Produce department reports related to at-risk and lost business.
- Partner with Accounting on invoicing tasks.
- Maintain data integrity within our CRM system (EPIC).
- Assist with client onboarding and provide backend support to sales, including presentation preparation and benchmarking research (e.g., Milliman).
- 5+ years of administrative or operations experience, ideally in professional services or insurance.
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Experience with CRM systems (EPIC experience is a plus).
- Exceptional organizational and multitasking abilities.
- High level of professionalism and discretion when working with confidential information.
- Bachelor’s degree preferred, or equivalent experience.
